The relocation of your company is very important and our goal at Esperson is to assist you in making this transition as smooth and efficient as possible. The key to any successful move is timely and effective communication and coordination between the tenant, the moving company, and building management.

Moving into Esperson

The relocation of your company is very important and our goal at Esperson is to assist you in making this transition as smooth and efficient as possible.  The key to any successful move is timely and effective communication and coordination between the tenant, the moving company, and building management.  In order to achieve this goal, the following guidelines have been established at Esperson to help facilitate a coordinated and effective move-in process.

 

ELEVATOR USE

To facilitate an efficient flow of your furniture, equipment, and supplies, the proper scheduling of one of the freight elevators should be considered.  In connection with a move, the Management at Esperson should be notified at least ten (10) days prior to the date of your scheduled move to facilitate reasonable scheduling of an elevator.  Additionally, in connection with your future elevator needs, we would request that your firm provide twenty-four (24) hour advance notice via Work Order of any extraordinary deliveries, as it is our desire to provide all tenants at Esperson with quality, efficient, and equal service.  Your cooperation is essential to help us meet this need.

 

KEYS

Keys for your offices will be turned over to a designated representative of your firm in advance of your scheduled move after final acceptance of your finished space.  Two keys per lock will be provided for exterior doors.  The Management at Esperson will be available to answer any questions that might arise during the course of your move.

 

MOVING DAY

In an effort to better inform everyone involved in the move process, the Management at Esperson has created and prepared a Moving Policy, which for your convenience and review is set forth below.  We encourage you to review the policy with your moving company prior to the day of the move-in order to avoid unexpected delays.

Moving Policy

The following rules pertain to moving furniture, equipment, and supplies in and out of Esperson:

ANY MOVERS WHO DO NOT ADHERE TO THE FOLLOWING RULES WILL NOT BE ALLOWED TO ENTER THE PREMISES OR WILL BE REQUIRED TO DISCONTINUE THE MOVE.

Protective Floor Coverings:  Clean masonite sections will be used as runners on all finished floor areas where heavy furniture or equipment is being moved with wheel or skid type dollies.  Clean plywood sections will also be required when moving over “sensitive” floors (i.e., stone or tile floors).  The masonite must be at least 1/4″ thick, 4′ x 8′ sheets in elevator lobbies and corridors and 32″ sheets through doors in tenant space.

Protective Wall Coverings:  Esperson personnel and moving company personnel will inspect all walls, door facings, elevator cabs, and other areas along the route to be followed before, during, and after the move.  The mover must provide and install protective coverings on all walls, door facings, elevator cabs, and other areas along the route to be followed during the move.  It is the responsibility of the mover to notify the Management at Esperson of any and all existing damage or defects to the intended path of the move prior to beginning the move.  After the completion of the move, mover will be held fully responsible for repair of damages and defects not previously noted.

Damage to Building:  Any damage to the buildings or other improvements at Esperson caused by the move will be paid for by the moving company.

Use of Elevators:  Move-ins of large quantities of furniture, equipment, or supplies will be accomplished after hours and through the scheduled use of the freight elevator.

Scheduling of Elevators:  The moving company must make arrangements with the Management at Esperson via work order request for use of one of the elevators for each move.  A firm arrival time will be established.

Insurance:  The moving company must carry and maintain, at its expense, the following insurance, in the amounts specified below or such other amounts as the Management at Esperson may from time to time reasonably require, with insurance companies and on forms satisfactory to the Management at Esperson:

Worker’s Compensation:  Worker’s compensation insurance insuring against and satisfying the moving company’s obligations and liabilities under the worker’s compensation laws for the State of Texas, including employer’s liability insurance with a limit of not less than $1,000,000.00 aggregate.  Such insurance shall include a waiver of subrogation rights in favor of the Owner of and Management at Esperson.

Commercial General Liability:  Commercial General Liability insurance, providing coverage not less than that of the occurrence form ISO Standard Commercial General Liability Insurance, including, but not limited to bodily injury, property damage, personal injury, and contractual liability coverage for the performance by the moving company of its indemnity obligation, with a combined single occurrence limit of not less than $1,000,000.00.  Such insurance shall include a waiver of subrogation rights in favor of the Owner of and Management at Esperson.

Automobile Liability:  Comprehensive Automobile Liability covering all owned, non-owned, and hired vehicles, with a combined limit of not less than $1,000,000.00 per occurrence.

Excess Liability:  Excess Liability coverage in excess of the underlying coverages listed above of not less than $5,000,000.00 per occurrence/aggregate.

Policy Requirements:  Contractor shall furnish client a Certificate of Insurance (with all pertinent endorsements) for all coverages herein listed at least twenty-four (24) hours prior to commencement of the move, with all insurance required being issued by such good and reputable insurance companies qualified to do business in the State of Texas having a rating not less than A: VIII as rated in the most recent copy of Best’s Insurance Report in the form customary to the local of Esperson.  The following shall be named as additional insureds on the certificate:

“Additional insured in favor of CCM-Cameron Esperson Owner, L.P. (Owner) and its partners, affiliates, employees, contractors and agents, including without limitation, Cameron Interests Limited Partnership (Manager). For G.L., Auto and Umbrella; Waivers of Subrogation provided in favor of Owner & its affiliates for G.L., Auto, Workers Comp., and Umbrella; Contractual Liability in support of Indemnification clause.  Insurance is primary and non-contributing.”

All policies required to be maintained by the moving company shall be written as primary policies, not contributing with and not supplemental to the coverage that may be carried by the Owner of or Management at Esperson.

Indemnification:  The moving company shall indemnify and save harmless the Owner of and Management at Esperson from and against any and all claims, demands, and causes of action of whatsoever type, kind or nature, arising in favor of moving company’s employees or other third parties as a result of bodily injury, personal injury, death or damage to property in any way resulting from or related to the negligent or willful acts or omissions of moving company, its agents, employees, representatives or subcontractors in connection with the move. The moving company shall be further responsible for all damages and losses sustained by them to their tools and equipment utilized in the performance of all work in connection with the move.

Permitted Access:  Employees of the moving company will not be permitted to access any part of the buildings at Esperson other than the predetermined moving route.

Uniformed:  All employees of the moving company are to be uniformed at all times.
